 Logistics Account Manager – Philadelphia, PA 

Established in 1972, our boutique-style freight brokerage began as a hauler for our family of paper companies, growing organically within the industry to haul freight for now hundreds of paper and plastics companies. Mill Corporation is affiliated with one of the oldest paper mills in the country, a sustainable recycling company, and a roll paper merchant all housed under one roof creating a unique and exciting dynamic as a collaboration in the paper and freight industry.

Job Summary 

The Account Manager is primarily responsible for maintaining and managing existing established key accounts, and continuously developing and growing carrier and customer relationships.

Primary Job Responsibilities Include: 

  • Provide accurate quotes for full truckload, less than truckload, and Intermodal shipments to help develop new customers 
  • Establish account relationships, including booking shipments, tracking shipments, and order status, and work to design solutions to resolve any issues that may arise 
  • Utilize industry awareness to inform customers of current market conditions for improvement and growth opportunities 
  • Provide timely and informed customer support including booking shipments, tracking shipments, and order status 
  • Assist with claims/disputes 
  • Establish and maintain effective communication channels as one of the primary points of contact between the customer and Mill Corporation 
  • Ensure a high level of accountability & consistency in adhering to processing and communication 
  • Assist in creating new SOP’s, and determine Key Performance Indicators (KPI’s) for all new customers, and manage, ensure, and report on behalf of each customer 
  • Monitor carrier performance, lane history, and pricing for each quarter/season 
  • Develop, maintain, and grow carrier relationships 
  • Explore and develop carrier and warehousing relationships for export drayage 
  • Identify opportunities for new business by developing relationships with current shippers and receivers when providing shipping updates 
  • Contribute towards quarterly RFP’s, customer invoicing and payment tracking. 
  • Data entry for Cost Analysis and running Cost Analysis for smaller accounts 
  • Support Sales department with daily administrative tasks 

Qualifications and Requirements: 

  • Bachelor’s degree in Business Management, Supply Chain Management, or equivalent 
  • Strong organizational skills with the ability to multitask and prioritize deadlines in a fast-paced environment 
  • Excellent knowledge of Microsoft Office, particularly Excel and PowerPoint 
  • Proven experience in a role with a strong emphasis on verbal and written communication and negotiation skills 
  • Previous work experience in Logistics/Supply Chain as a freight broker, 3PL, or other relevant environment preferred 
  • Hours 8 am-5 pm, flexibility for additional hours as work dictates 
  • US Work Authorization (preferred)

Role Summary:

The Accounts Receivable/Invoicing Specialist is responsible for maintaining and managing the company’s accounts receivable records. This includes generating invoices, account statements, financial reports, and reconciling accounts. The role is essential for ensuring accurate and efficient financial operations within the company.

Key Responsibilities:

Accounts Receivable:

  • Daily maintenance of the billing system.
  • Generate invoices and account statements for clients.
  • Conduct account reconciliations regularly to ensure accurate accounting.
  • Maintain comprehensive accounts receivable files and records.
  • Produce monthly financial and management reports.
  • Investigate and resolve any irregularities or inquiries related to accounts receivable.
  • Assist in general fiscal management and analysis.

Invoicing:

  • Maintain bookkeeping databases and spreadsheets, updating information as needed.
  • Communicate with clients to request and arrange payments.
  • Record and track payments in accounting databases
  • Create reports and balance sheets detailing overall profits and losses.
  • Update client accounts based on changes in payment or contact information.

Payment Processing:

  • Process accounts and incoming payments in compliance with financial policies and procedures
  • Perform day-to-day financial transactions, including verifying, classifying, computing, posting, and recording accounts receivables data.
  • Prepare bills, invoices, and bank deposits.
  • Reconcile the accounts receivable ledger to ensure all payments are accounted for and properly posted.
  • Verify and resolve discrepancies in client billing issues.
  • Facilitate timely payment of invoices by sending bill reminders and contacting clients.

 Skills and Qualifications

  • Bachelor’s degree in finance, Accounting, or related field.
  • Spanish preferred, but not required.
  • Proficient in Microsoft Office and [insert other relevant software]
  • Strong organizational and multitasking skills
  • Excellent communication skills, both written and verbal
  • Attention to detail and problem-solving abilities.
  • Proven working experience as an Accounts Receivable Clerk, Accounts Receivable Manager, or Accountant
  • Solid understanding of basic accounting principles, fair credit practices, and collection regulations
  • Proven ability to calculate, post, and manage accounting figures and financial records.
